User Permission Levels

Overview

Gearbox provides different user access levels to limit who can view, edit and delete specific data. You can select a user template or create custom permissions for each section in Gearbox.

Gearbox users can be assigned the following permission levels in each module;
  1. Admin  
  2. Manager 
  3. Standard 
  4. Internal Mechanic 
  5. External Mechanic 
  6. Read only 
  7. Denied 
The modules are:
  1. Maintenance
  2. Employees
  3. Compliance
  4. Documents
  5. Parts
  6. Repairers
  7. Settings
  8. Users

Adding and Editing User Permissions

1. Click on the User Icon (1), then click Users (2)

3. Click on Active Users (3)

4. This screen shows you all of your active users from here you can click on the Users (4) you wish to edit

5. Below the User Information is User Permissions from here you can select the level of access a user can have in each module

User access 

Admin - No restrictions, read /edit delete all areas.

Manager - Read and edit, view vehicle financials tabs and reopen work orders but the user cannot delete records.

Standard  - Read and edit but cannot delete records, view vehicles or reopen work orders (Service, Repairs, Tyres, Inspections).

Internal Mechanic -  Limited access in Gearbox to Vehicle, Services, Repairs, Tyres & Inspection. Action work orders, but not close out. 

External MechanicLimited access to only view and complete work orders assigned to their user. External & Internal Mechanic User Permissions

Read Only - Read access, run reports but cannot make changes.

Denied - Unable to login to Gearbox


Business Settings Permissions

Some business settings are managed by a number value that translates to the user type, the below is a list of the accepted number values and their related user permissions

0 = All users (including ‘Read-only’) can make changes to the related setting.

4 = ‘Mechanic’ and above users can make changes to the related setting.

32 = ‘Standard’ and above users can make changes to the related setting.

128 = ‘Manager’ and above users can make changes to the related setting.

256 = ‘Administrator’ users can make changes to the related setting.

512 = No users can make changes to the related setting.
