Vehicle Traffic Light

Overview

Gearbox features a Traffic Light to provide a single overall status for a vehicle. The traffic light takes into account date, kilometers, and hour-based alerts to determine a Green, Orange, or Red status for a vehicle.

  1. Red: If any alerts contributing to the overall vehicle status are Red, the traffic light will be set to Red.
  1. Orange: If there are no Red alerts but one or more Orange alerts, the vehicle traffic light will be set to Orange.
  1. Green: If there are no Red or Orange alerts, the vehicle will have a Green traffic light.
  1. Grey: If a vehicle is new to the system or marked as sold, the traffic light will be Grey.


The dashboard includes a total count of each of the traffic light colours. Sold vehicles are archived in Gearbox, so the traffic light dashboard does not display the Grey status.

Clicking on the red, orange, or green areas will provide a list of all vehicles with that status. Hover the mouse over the traffic light for a summary of the alerts affecting the current colour of the vehicle’s status. Below is an example of Red Status

Alerts Affecting the Vehicle Traffic Light


Vehicle Allocation Status:
  1. "Out Of Service Planned/Unplanned" will set the traffic light to Red.
  1. "Parked/Pending" will set the traffic light to Orange.
  1. "In Service" will set the traffic light to Green.
  1. "Sold" will set the traffic light to Grey.

Registration/COF/WOF Expiry Dates:

The Registered Vehicle status is determined by the registration due date, the vehicle allocation status, and, in New Zealand, the WOF/COF expiry date.

  1. If there is no due date, or if the due date is about to expire, or if the date has expired, the traffic light will be set to Red.
  1. If you have non-registered vehicles in Gearbox, you need to tick the "unregistered" box to prevent any of these components from inadvertently setting the status to Red.
  1. If the due date is about to expire, the traffic light will be set to Orange.
By default, your Gearbox system is set to provide a 30-day warning for Red and a 14-day warning for Orange. (These warnings can be adjusted in your settings if necessary.)


Vehicle Reminders:

If any vehicle reminders are about to or have expired based on kilometers, hours, or days, Gearbox will set the vehicle’s traffic light to Red. If there are no reminders that meet this condition, but one or more reminders are set to expire soon, Gearbox will set the vehicle traffic light to Orange.

The parameters to set a reminder Red or Orange can be adjusted in your vehicle reminder settings if necessary.


Service Due
Gearbox uses your Service Group settings to calculate whether the vehicle's traffic light should be set to Red or Orange based on the Service Due status, considering kilometers, hours, and days.

Fault Reports:
Gearbox considers a Fault Report as an issue reported by a driver/operator that has not yet been addressed. Often, the driver/operator is not a mechanic or fitter and may not have the expertise to diagnose the severity of the fault. Consequently, Gearbox sets any vehicle with an Open Fault Report to Red status.


Open Repairs & Tyres:
  1. If a vehicle has any tyre or repair work orders open flagged as 'Urgent', Gearbox will set that vehicle's traffic light to Red.
  1. If a vehicle has any tyre or repair work orders open flagged as 'Important', Gearbox will set that vehicle's traffic light to Orange.
  1. Monitored or deferred work orders will not change the vehicle's traffic light status from Green.

Mass Verifications:
If you are NHVAS Mass accredited and using Mass Verifications in Gearbox, the system will advise when a Mass Verification is due soon (Orange) or overdue (Red).

Inspections:

Gearbox will update the traffic light status to Red if any inspections for a vehicle are due or overdue. If there are any inspections due soon, Gearbox will set the vehicle traffic light to  Orange. The amount of warning required for Inspections Due can be adjusted in your settings if necessary. The intervals are set in Inspection Types.


Permits:

Gearbox will update the traffic light status to Red if any Permits for a vehicle are due or overdue. If any permits are due soon, Gearbox will set the vehicle traffic light to Orange. The amount of warning required for permit expirations can be adjusted in your permit settings if necessary.
