Prestart Checklists

Overview

To configure our Prestart app, you will need to create Prestart Checklists. Gearbox allows you to create a different checklist for different types of assets, as each type may require different daily checks to be completed. The below article will show you how to configure your checklists.
Gearbox users with Standard permissions in the Settings area will be able to add/edit records but will not be able to delete them. Records can only be deleted with users with Admin permissions in the Settings area.


Adding Prestart Checklists

1. Click on your User Icon (1), then click on Settings (2)

2. On the left-hand side of the screen, scroll down and click on Prestarts (3)

3. Click Add New (4)

4. Enter the Prestart Checklist Label (5), then select whether to Display or Require Kilometre/Hour Reading (6). You can edit the Operator Declaration (7). This is optional. Gearbox also allows you to Copy Check List Questions From (8) another checklist; simply click the dropdown and select an existing checklist. Click Save (9)

1. Once the Prestart Checklist is created, you must enter Prestart Checklist Questions. Click on Edit Checklist Questions (1)

2. Click on Add New (2)

3. Check the Checklist (3) to see if the correct checklist has been selected. In Section (4) it is best to assign similar questions together, i.e. Wheels and Tyres (not mandatory and can be left blank). Enter the Question (5) you want the operator/driver to answer, and select. If enabled, select the Checklist (6) you would like the operator/driver to answer, and select Question Order (7). You can allow multiple options to configure how a checklist question is displayed within the Prestart app (8). Click Create Check List Question (9) to save the question.
Prestart users can only answer questions based on a Pass, Fail, or N/A answer.

Copy Questions From Another Checklist

Gearbox allows you to copy checklist questions from another prestart checklist. There are a couple of ways to do so when creating a new list.

1. Once a checklist is created and the Edit Checklist Questions is selected click on Copy Items (1)

2. Click on the drop-down box (2) and select a checklist you want to copy checklist questions from then click Copy (3)

3. Another way to copy checklist questions woul be when creating a new checklist in the Copy Check List Questions From (4)

Import Prestart Checklist Questions

Importing checklists is a fast way to bulk-import Prestart questions.

1. On the Prestart Checklist page click on Import (1)

2. If you haven't already filled out our template, click Download XLSX Template (2) once completed, click on Select File To Import (3) select the file, then click Import (4)

Enable Checklist Types

1. Click on your User Icon (1), then click on Settings (2)

2. On the left-hand side of the screen scroll down and click on Integrations (3)

3. Scroll down to Prestart and tick Allow Checklist Type Selection (4)

4. The additional checklist types (5) will now show in the checklist questions

5. Now when adding or editing Prestart questions you will need to select which Checklist to Include this question for (6) Gearbox will allow you to select multiple checklists.

6. The checklist type labels can be edited via the System Parameters (7) table in Settings. Searching 'Prestart Checklist' (8) you will be able to change the Value (9)

Edit Prestart Checklists

1. Click on your User Icon (1), then click on Settings (2)

2. On the left-hand side of the screen, scroll down and click on Prestart (3)

3. The following areas can be edited for Prestart checklists - List Names (1), Questions (2), and Fail Reasons (3)

1. Click on your User Icon (1), then click on Settings (2)

2. On the left-hand side of the screen, scroll down and click on Prestart (3)

3. Click on Edit Checklist Questions (4)

Adding Fail Reasons

Fail reasons are displayed to Prestart users as reasons for questions they fail, such as Damaged, Not Working, or Other a default.
1. Click on your User Icon (1) click on Settings (2)

2. On the left-hand side of the screen, scroll down and click on Prestart (3)

3. Click on Edit Fail Reason (4)

4. Click on Add New (5)

5. Enter the Fail Reason (6), then click Create Check List Fail Reason (7)

This will now show up in your Prestart Checklist Fail Reasons.

Archive Prestart Checklist Questions

1. Click on your User Icon (1), then click on Settings (2)

2. On the left-hand side of the screen, scroll down and click on Prestart (3)

3. Click on Edit Checklist Questions (4)

4. Click Edit (5)

5. Click Archived (6), then click Update Check List Question (7)

This question will now be greyed out with the '(Archived)' tag at the front of the question. All questions archived will no longer show up in Prestart.
