Adding Contractors and Contractor Reminders
Overview
The Contractor Reminder section in Gearbox provides a centralised platform for managing essential administrative tasks. Users can add reminders for driver's license renewals, motor vehicle insurance updates, public liability insurance renewals, workers' compensation requirements, and any other tasks needed for compliance and smoother operations. Additionally, users can store documents related to these reminders if they have the Documents module added to their Gearbox Subscription.
The Compliance module must be active on your subscription to add Contractors and Utilise the Contractor Reminders
Adding Contractors
1. Click on Compliance (1) then click Contractors (2)

2. Click on Add New (3) to edit an existing record simply click into it (4)

3. Enter the Company Name (5), the remaining fields are optional (6) once completed click Save and Close (7)
You can view Reminders and Non-Conformances that have been assigned to this Contractor by clicking the ‘Reminders’ or ‘Non Conformances’ tab on the above view

4. Once saved the contractor will now show in your Active Contractors list (8)

How to add Contractor Reminder Types
1. Click on your User Icon (1), then click on Settings (2).
2. Select Contractor Reminders (3) from the left side menu.
3. Select "Add New Type" (4).
4. Type in the Contractor Reminder Type Label (5) and select Save (6).
How to add a Reminder
1. Click on Compliance (1) and select Reminders (2).
2. Click the
‘Add New’ button (3) to create a new reminder.
3. Choose an existing 'Contractor' (4), select the 'Type' (5), and enter the 'Expiry Date' (6). The remaining fields are optional. Finally, click 'Save and Close' (7).
The 'Dismiss expiry warning' option functions similarly to closing the reminder. You have the choice to dismiss the warning and create a new one or extend the expiry date when the reminder is due.
